Patient numbers flat?

When new-patient numbers stall, the instinct is to look for more traffic. Often the better question is where the people you already reach are dropping out. We follow a patient from search to first visit to rebooking, note the leaks we can see, and send you a short written report with the biggest one first.

What we look at

Six steps, in the order a patient meets them. A patient lost at step two never reaches step five, so we look at the whole path, not one piece of it.

1. Search

We search for your clinic and for what you treat, the way a patient would, the way a patient would, on a phone. Results can vary by device and location. Do you show up for your own name? For “physio near me” style searches in your area? For your main conditions? We show you what a patient sees, not a ranking number.

2. Your Google profile

Categories, hours (including holidays), services, photos, recent reviews and replies, and whether a booking link is there. We also check that your details match across the web. A profile that is out of date or thin can lose a patient before they ever see your site.

3. Your site on a phone

We open it on a phone and ask three things: can I tell what you treat, who it is for and where you are, without scrolling? Is there a button that says how to book? Does it load quickly enough that a person in pain would wait? A page for each main condition is clearer than one long list of twelve.

4. Booking

We walk through booking a first visit, up to the final step and without submitting, so no fake appointments are made. We count the taps, check that the right visit type appears, and look at whether someone can book at 9 pm without calling. We also look at the confirmation and reminder wording, if you share a copy with us.

5. The phone

Some patients still prefer to call. We look at whether your number is easy to tap, what happens when nobody answers, and whether the call can fall back on a booking link or a text. We do not listen to patient calls and do not need recordings. If you want a script for your front desk, our front desk phone script is a start.

6. Rebooking and no-shows

A patient who finishes a plan of care and never returns is a leak too. We look at how your clinic handles the next visit, reminders, missed appointments and patients who have gone quiet. That is process, and we only see what you tell us about it, so we ask a few plain questions. We never see patient records, and we do not want to.

For reference, in our scan of 4,348 physio and chiro homepages (3,886 physio and 462 chiro, November 2026), 33% of physio and 26% of chiro sites had no online booking we could find, and 66% of physio and 70% of chiro sites showed no review feed or star rating. 24% of physio and 26% of chiro sites were built on a DIY platform. How we counted. We will tell you where you stand.

What you get back

A short written report, sent to your inbox. For each of the six steps:

  • What we saw. In plain words, with screenshots where helpful.
  • What to change. A specific change, not “improve your SEO”.
  • Priority. Fix first, or next.

The report puts the step that looks like the biggest drop-off first, and marks which fixes you could do yourself this week.

Here is how one line might look:

Booking. What we saw: booking takes four taps and a menu, and the button says “Contact”. What to change: a “Book online” button in the header of every page, linked to your existing booking page. Priority: fix first.

That line is an example, not a real clinic.

How it works

  1. The audit. Send your clinic name, website, email and the booking software you use, if any. We send the report. No card, and no call unless you ask for one.
  2. The fixed fix. If you want help, we quote the work in writing as one fixed price, with scope and timeline. Some booking and profile fixes can start to show within weeks, but results vary. Nothing goes live without your approval.
  3. Monthly care. To keep the gains, you can add monthly care: reviews, profile upkeep and a one-page monthly report. It is month to month, and you can stop any time.

We do not need patient information and will not ask for it. We look at your public website, your public Google profile and your booking page as a patient sees them.

Questions owners ask

Q: My clinic is busy enough to feel stretched. Is flat really a problem?

It depends on your goals and your capacity. If you have room on the schedule and numbers are not moving, it is worth a look. If you are full, we will say so.

Q: Will the report just tell me to spend more on ads?

No. Ads are one option, and they are not worth running into a booking path that leaks. If the check-up shows something cheaper to fix first, that goes at the top.

Q: How do you check rebooking if you do not see patient data?

We look at your public booking page, and ask you a few plain questions about reminders and rebooking, and ask you a few plain questions about your process. We never ask for patient names, notes or lists.

Q: Can you guarantee more patients?

No. We can show you where people are dropping out and what to change. Results depend on your area, your services and your competition.

Q: What does the audit cost me?

Your clinic’s details and about 10 minutes. You get the written report either way, with no obligation. If it shows work you want help with, we would like the chance to quote it. That is the whole catch.

See where your next patient is getting stuck.
