Online booking for physio clinics that lets new patients book at 9 pm

Many people look for a physio or chiropractor after work. If the only way in is a phone call, some will book with the clinic that let them pick a time tonight.

We configure the booking software your clinic already pays for, then put Book online everywhere a patient looks: your website, your Google profile and your treatment pages. It is for solo clinics, growing practices, multi-location groups and new clinics choosing how to take bookings.

What we found when we looked at clinic sites

  • 4,348 homepages. Our November 2026 scan covered 3,886 physio and 462 chiro homepages in Canada, the US, the UK and Australia.
  • 33% of physio and 26% of chiro sites had no online booking we could find.
  • 19% of physio and 31% of chiro sites used booking software we could identify.
  • We use what you have. We work with the settings your booking software already offers. You do not switch tools.

How we counted.

A patient who can’t book tonight may book elsewhere

A patient decides in a moment. It is evening, their shoulder hurts and they have three clinics open in tabs. One lets them choose a time now. Two say “call us during office hours”. The first one gets the booking, and the other two never know they were compared.

Online booking works when three things are true.

1. It is switched on and set up well

Many clinics have booking in their software that is incomplete or confusing. Patients face a long list of visit types and give up.

2. It is easy to find

A Book online button that is always visible, on every page and on your Google profile. A great booking page nobody reaches does nothing.

3. It suits your clinic

Which visits are bookable, with whom and with how much notice. Your rules, applied inside your software.

Online booking at every stage

The right set-up depends on how your clinic runs. A solo practitioner who answers the phone between patients needs something different from a group with a front desk and six calendars. We look at how your day actually works, then set booking up to fit it.

1. New clinics

You are choosing software for the first time. We tell you what to look for, and once you have it we set it up properly from day one. Choosing and setting up new software is separate work.

2. Solo and small clinics

You answer the phone between patients. We make one clear first-visit option, add it to your site and profile and cut down the phone tag.

3. Growing practices

More practitioners, more visit types and more rules. We tidy the menu so patients can pick the right person and visit without calling.

4. Multi-location groups

Each location and each practitioner needs the right link in the right place. We set up booking links per location so a patient lands on the correct calendar.

5. Booking is on but quiet

You already have online booking and few patients use it. We find where they get lost, usually the button, the menu or the visit list, and fix it.

What we set up inside your software, on your site and on Google

We work with the settings your software already offers. Much of the work is deciding what to show patients and what to hide, then saying it in plain words. It sits inside accounts you own, and your team can change any of it later.

1. Bookable treatments

Which visits patients can book online, with one obvious choice for a first visit. A short list beats a long one.

2. Plain visit descriptions

For each visit type: who it is for, how long it takes, what to bring. A nervous patient needs to know what they are booking.

3. Rules that suit your clinic

Notice for new bookings, cancellation window and deposits if you use them. Whatever your plan supports.

4. Practitioners and hours

Which practitioners and which hours are open online, so the diary stays under your control.

5. Confirmation and reminder messages

Messages in your clinic’s voice, clear about time, place and what to do next. Reduce no-shows.

6. Book online everywhere

A button in the header of every page, links on condition and treatment pages and an appointment link on your Google profile. Booking button on your Google profile.

Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.

The booking settings owners ask about

These are the details that decide whether online booking helps or causes problems. None needs special software. They are choices inside the tool you already pay for, and the right answer depends on your clinic, your practitioners and how you like to run the day.

1. First visit versus follow-up

New patients need a first-visit option with a clear name. Returning patients can have their own. This keeps the wrong person out of the wrong slot.

2. Who can self-book

Many tools let you control which visit types are bookable online and add questions or notes. You can screen new patients first if you want to. We help you choose.

3. Notice and lead time

How far ahead patients can book and how little notice you will accept. It protects your day without turning patients away.

4. Cancellation and deposit rules

A simple policy stated in plain words at booking. Deposits depend on your software plan, so we only use them if you do. Policy ideas.

5. Practitioner calendars

Which people appear, what hours and what visit types each one offers. Fewer surprises for the front desk.

6. Questions before booking

Short, useful questions such as who referred you or whether this is a work injury. Only what you need.

The words and assets we prepare

You do not need to write these. You approve them. We draft in short, friendly sentences and keep the wording consistent across your software, your site and your Google profile.

1. Visit descriptions

Short, plain text for every bookable visit.

2. Confirmation and reminder messages

Friendly and clear, with the details a patient needs.

3. A new-patient page

Answers the questions that stop people booking: what to expect, what to wear, whether you need a referral, whether you direct bill. Direct billing on your website.

4. Button and link text

“Book online” placed where a patient is ready to act, instead of “Contact” or “Submit”.

The platforms and tools we work with

We only list what we really work with.

We have no partnership with Jane, Cliniko or Google. We work with what clinics already use.

Booking that actually gets used

A booking page is only worth something if patients reach it and finish. We design for both. That means making the button easy to see, the first-visit choice obvious and the path short, then trying it on a phone ourselves to check it holds up.

1. A visible button on every page

Header, phone and treatment pages. A patient should never need to look for it.

2. One obvious first visit

One clear choice for new patients, with the others tucked below. Fewer choices, more bookings.

3. Few steps to finish

We test booking on a phone and count the taps. If it takes too many, we find out why.

4. Answers on the page

Cost, referrals, direct billing and how long it takes, where patients wonder about them.

5. Phone still works

Some patients will always prefer to call. Your number stays on the page. Online booking takes the routine bookings away so your team can look after the patients in front of them.

How online booking set-up works

Six steps, and you stay in control.

1. Marketing audit

We try booking on a phone, the way a patient does, up to the final step without submitting. We note every snag. What the check-up covers.

2. A fixed plan

We quote the changes in writing, after the check-up and before you sign.

3. We set it up

You give us access to your software settings and website. We make the changes and test them on real phones. Plan on a few hours of your time.

4. You approve

You read the wording and see the booking path before anything goes live.

5. Launch

Buttons go live on your site and Google profile. We test again and show your team what changed.

6. Monthly care, if you want it

Optional and month to month. How we work.

Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.

Keeping booking healthy after launch

Settings drift. A new practitioner joins, hours change, a visit type is added. Booking set-up and Google profile fixes can show results in weeks, but only if the settings stay right. Monthly care is optional, and you can stop any time. You keep everything.

Monthly care can include:

  • Updating visit types, practitioners and hours when they change
  • Checking the booking path on a phone each month
  • Keeping the Google appointment link working
  • Reviewing reminders and cancellation wording
  • Counting booking-link clicks and booking requests in one plain monthly report
  • Advice on what to change next

Why clinics work with us

1. Built for independent clinics

We work with independent clinics, physio and chiro first, plus dental and optometry, so we know how a first visit gets booked.

2. Our own scan of 4,348 clinic sites

We counted booking, reviews and offers across real clinic homepages. We know where the gaps are.

3. You own every account

Your software, website and Google profile stay in your clinic’s name. We use invited access, never passwords. If you leave, you keep your domain, website content, Google profile and accounts. Anything licensed from a third party stays under its own terms.

4. Nothing goes live without your approval

Wording, buttons and settings are yours to approve first.

5. Plain monthly reports

One page, in words you can read between patients.

6. We check against regulator rules

We read page copy against your regulator’s published guidance and flag risky wording. This is not legal advice.

If you have online booking but few use it, something’s missing

Switching it on is the start. These are the usual reasons it sits quiet.

1. No button on the website

Booking exists but a patient cannot find it. We put Book online in the header of every page.

2. No link on Google

Patients who find you on the map have to phone. We add the appointment link.

3. A long list of visit types

Patients cannot tell which one is theirs. We cut it to one clear first-visit option.

4. Visit types with no description

A patient does not know what they are booking. We add who it is for, how long and what to bring.

5. Confusing or missing reminders

No-shows rise when reminders are vague. We write clear messages. Reduce patient no-shows.

6. Rules that turn patients away

Too much notice, too many questions or the wrong hours online. We tune them to your clinic.

Questions owners ask

Do we have to switch software?

No. We work with Jane and Cliniko. Using something else? Tell us in the form and we’ll say whether we can help.

What if patients book the wrong visit?

That usually means the list of treatments is confusing. Cutting it to one clear first-visit option and adding plain descriptions fixes much of it.

Can new patients self-book if we want to screen them first?

Yes. Many tools let you control which visit types are bookable online, and add questions or notes. We help you choose.

Will we get no-shows?

No-shows happen with phone bookings too. Clear reminders and a simple cancellation policy help. See the guide below.

What if we don’t have booking software yet?

We’ll tell you what to look for. Setting up new software is a separate piece of work.

Do you set it up for every software?

We work with Jane and Cliniko. Using something else? Tell us in the form and we’ll say whether we can help.

Will this replace our front desk?

No. It takes routine bookings away so your team can look after the patients in front of them. Your phone number stays on the page.

Can patients book from Google?

Yes, where your software supports an appointment link. We add it to your profile so patients can book from search and the map.

Do you see our patient records?

No. We work on your website, your Google profile and your software’s own settings. We never need to see patient records, and we never need to see patient records. We work on your website, your Google profile and your software’s settings.

Do you charge for deposits or take payments?

No. Deposits and payments run through your own software, on whatever plan you have. We only set the rules you choose.

How long does it take?

We put the timeline in the written quote. Booking set-up is usually smaller than a website project.

Do I need to keep paying you after set-up?

No. Monthly care is optional and month to month. You keep everything either way.
