How do I stop missing calls at my clinic?
Work out when and why calls are missed, then fix the biggest cause: coverage at busy times, no backup when the desk is on another call or no way to catch calls after hours. Add a callback routine and an online booking option so a missed call doesn’t become a lost patient.
Find out what is happening
Start with facts. Your phone system, or a call tracking number, can show how many calls came in, how many were answered and what times they were missed. Don’t rely on memory or the front desk’s impression. Check:
- Which hours see the highest number of missed calls?
- Are they new patients or existing ones?
- Is the desk with a patient, on another call or away?
- Do calls ring through to anyone after hours?
Be careful with call recording. Telling callers and following your province or state’s rules on recording is your responsibility, and this is not legal advice. Don’t record or store health details without understanding the rules.
Common causes and fixes
- The desk is busy at the start and end of the day. Stagger breaks and make the busiest times a priority. A second person or a shared inbox at peak hours helps.
- One person, one line. If the desk is on a call, the next caller goes to voicemail. Add a second line or a call-forwarding rule that rings another phone.
- Lunch and after hours. Add a clear voicemail message with hours and a booking link. Use a text reply that sends the link.
- Voicemail is full or ignored. Check it at set times and return calls quickly.
- Calls wait too long. Many callers hang up quickly. Keep the greeting short and the number of rings reasonable.
- Wrong number on the website or profile. Check that every listing shows the number that is answered.
A callback routine
Not every call can be caught, so decide what happens when one is missed:
- Check missed calls at fixed times during the day.
- Call or text back within a set window, such as within the same morning.
- Use a short, friendly script that offers a time and the booking link. See front desk phone script.
- Log each missed call and outcome so you can see what is working.
A text that sends a booking link can recover a patient who would otherwise call another clinic. Check the rules on commercial messages first, since they vary by country. See email and text consent.
Give patients another way in
Many people don’t want to call. A visible Book online button means a patient can act while you’re busy or closed. See adding online booking.
Not sure where your clinic stands? We’ll look at it the way a new patient does and send a short written report. No pitch.
Support the desk
Missed calls are often a staffing and workflow problem, not a people problem. Give your desk a script, a clear priority for new patients and the authority to book without checking with a clinician each time. Keep tasks that pull them away, such as billing or paperwork, out of peak call times where you can.
Questions owners ask
Should I outsource call answering?
It can fit some clinics. Check how well they know your services, what they say on your behalf and how they handle patient information.
Is voicemail enough?
It is better than a ringing phone, but many callers won’t leave one. Pair it with a text and booking link.
How many missed calls is too many?
There is no standard figure. Track your own number over time and look for the pattern.
